Cataloging Overview: Standard, Trusted, and Cloned

The ComPADRE content workflow takes resource items from submission to active status on the collections.

Standard Tagging Workflow

  1. A logged-in User makes a suggestion using the “Submit Resources” (or similar link) on a collection. The User should use the “Location Checker” to make sure the item does not already exist in the database.
  2. A Librarian approves the suggested item. He/she checks that it is appropriate for ComPADRE (Content) and does not already exist. The Librarian also selects the collections for the item and sends it to a Cataloger for processing.
  3. A Cataloger completes the full catalog record for the item (See “Cataloging Best Practices”) and returns the item for Librarian approval.
  4. A Librarian checks the catalog record (returns it to the cataloger or edits it if necessary) and approves the item. Once approved, the item is sent to the Editors of the collections to which the item is assigned.
  5. Each Editor finds approved items on the “Administrate” page under “Editor Workflow”. Primary information is “Chosen” by the Editor or their assistants and the item is approved for the collection. The following are the steps taken by the Editor:

If “Self-Choosing”:

  1. Log into the collection.
  2. Click on the “Administrate” or “Admin” link.
  3. Click on “Editor Workflow”. The list of items to be processed is shown under “Awaiting Chooser Assignment”.
  4. Load the item to determine if it is suitable for the collection.
  5. If not suitable, click on the “Decline” button.
  6. If suitable, click on the “Choose Now” button.
  7. Edit the Description if needed (each collection can have a unique description) and select a primary term in each of the categories using the radio buttons. Additional terms in each category can be added as needed by selecting them in the drop-down boxes and clicking an “Update” button.
  8. At the bottom of the page, select the “Approve Now” checkbox and click on the “Update Primaries” button. The item is now active in the collection.

If assigning “Choosing” to another user:

  1. Log into the collection.
  2. Click on the “Administrate” or “Admin” link.
  3. Click on “Editor Workflow”. The list of items to be processed is shown under “Awaiting Chooser Assignment”.
  4. Load the item to determine if it is suitable for the collection.
  5. If not suitable, click on the “Decline” button.
  6. If suitable, select a chooser from the drop-down menu and click on the “Assign” button. Add a comment for the chooser if needed.
  7. When a chooser finishes the item (described in (g) under “self-choosing”), it will appear in the “Choosing Complete” list.
  8. Approve the choosing selections through the “Approve” button, edit the selections, or send it back to a chooser.

Trusted Tagger Workflow (Fast Track)

Trusted Taggers (usually Editors) can move items from submission to approval without delay. Items are still processed in the usual manner by the Librarian after they car completed by the Trusted Tagger. Steps:

  1. Log into collection.
  2. Click on “Submit Resources”.
  3. Use the Location Checker to determine if the item already exists in the database.
  4. Enter information. At the bottom of the page, check the “You may tag…” box and click on “Make Suggestion”.
  5. Enter the full catalog record of the item. See the “Cataloging Best Practices”.
  6. On the “Finalize and Submit” page, check the “Approve Metadata and Choose …” box and click on the “Final Submit” button.
  7. Choose and approve the item as described above.

Cloned Item Workflow

Cloning is the process of taking an active item (Call this Item A) in the ComPADRE database and creating a new item (Call this Item B) using the initial item as a template. The most common examples where this is useful are multiple resources created by one author and existing on the same web site. Item A must be active on the collection where it is to be cloned, and can not have any attached documents.

To Clone (Rights to Catalog required):

  1. Search for Item A and view its Detail Page.
  2. In the upper right corner of the item record, click on “Control Menu”.
  3. In the upper right corner of the Item Control Menu is the “Clone Item” link.
  4. Use the “Check First” link, the Location Checker, to make sure Item B does not yet exist in the ComPADRE database.
  5. Click on the “Clone Item” link.
  6. The item cataloging pages (for creating the full catalog record) are brought up with the information from Item A. Enter the catalog information for Item B as described in the Cataloging Best Practices. The Title, URL (Location), and Description must be changed to match the new resource, Item B. Quite often other information will not need to be changed.
  7. If Item A was active on multiple collections, it will have more than one “Description Sets”. Delete the information from all but the first Set, change the description in the first Set to that appropriate for Item B, and update.
  8. Finalize and submit the catalog record for Item B. This record goes to the Librarian workflow.
  9. If the cloning is being done by a Trusted Tagger, the Item B record can also be moved to the editor workflow, collection choosing, and approval as described above.
